Your information

Privacy notice

This notice explains which information is used when you visit the IDBS website, send us a contact enquiry or express interest in collaborating with us.

Last updated: October 2026

Contact form

When you send us an enquiry through the form, we process your name, email, phone number, the company, organisation or individual designation you enter, the service and budget range you select, and your project description. We use this information to review your enquiry, contact you and protect the form from misuse.

You receive an acknowledgement at the email address you provide, including a copy of your submitted details. Messages are sent through the IDBS email service. The hosting infrastructure and email service process the information needed to operate the site and deliver the messages.

How long we keep enquiries

Contact enquiries and initial expressions of interest in collaboration are kept for up to 12 months after our last communication with you. They are then deleted unless a specific legal obligation requires a longer period. If a collaboration begins, retention of the records needed for that engagement is agreed within that collaboration.

Interest in collaborating

Partner onboarding uses the contact and professional details you provide, your areas of expertise, links and representative projects, your role and contribution in those projects, and your answers about working together and availability. We use them to get to know your experience and contact you about projects that match your expertise and availability. Every enquiry is read personally by a member of the IDBS team. We do not use AI to assess or select collaborators. Include only project information you are entitled to share.

Your introduction is sent to collab@idbs.gr through the IDBS email service. You receive a short thank-you email with the next steps, without a full copy of your answers. Technical counters and temporary delivery-state records protect the process against abuse and duplicate messages without storing application text in those records.

Your draft stays temporarily in page memory as you move between steps and languages. It is not stored as an application before you submit. A full page reload clears the draft.

Technical information and theme choice

The infrastructure serving the site records technical information such as your IP address, device and browser details, and the time and path of requests for security and reliable operation. Technical request logs are kept for 30 days.

We also count requests to the site in aggregate, regardless of your Google Analytics choice. This count does not require a cookie, but it is not a count of unique visitors.

Your light or dark theme choice is stored locally on your device as idbs-theme. It is used only to remember the appearance you selected.

AI search and chat

If you use the optional AI search or chat, your question is sent to IDBS infrastructure. Recent messages from the same conversation are also sent to answer a follow-up. The server searches only approved, published site content and sends the question, necessary recent history and relevant excerpts to OpenAI to generate a response. Please do not enter sensitive personal information into the AI.

Your chat history is kept temporarily in this tab’s session storage so you can continue the conversation. You can clear it by starting a new conversation. IDBS does not store the text of public questions and answers in its AI settings database. A temporary answer cache may remain in server memory for the duration set by the administrator. Temporary request and usage counters protect the service and control cost without recording conversation text in those counters.

Only when you use AI search or chat, the necessary first-party idbs_ai_visitor cookie is set for up to 24 hours. It contains a random identifier and is sent only with AI requests so per-visitor usage limits can be enforced. JavaScript cannot read it. The database keeps a pseudonymous identifier, counters and an expiry time, not the text of your questions.

API calls to OpenAI request no application-state storage. OpenAI may retain abuse-monitoring logs under its data controls, normally for up to 30 days, or longer where required by law.

Usage analytics

We use Google Analytics 4 through Google Tag Manager only if you choose “Accept analytics”. It then records page views, the page title and URL without query parameters, and technical information about the visit. The service provider is Google Ireland Limited. Google’s processing may involve transfers outside the European Economic Area.

If you choose “Reject analytics”, Google Tag Manager does not load and no events are sent to Google Analytics. Acceptance and rejection are presented equally. Your choice is stored locally as idbs-analytics-consent for six months. You can change it at any time using “Analytics settings” in the footer. If you withdraw acceptance, new events stop being sent and the related cookies are removed from your device.

After acceptance, Google Analytics may use cookies with names beginning _ga. They are configured to expire 180 days after creation, without being renewed on each visit. We do not use advertising cookies through this mechanism.

User and event data retention in Google Analytics is set to two months, without resetting the period on new activity. Aggregated Google Analytics reports may be retained for longer.
